One of the most powerful tools you have at your discretion as a fund raising coordinator is a fundraising event. Adding power to the idea of hosting fundraising events is the fact that it makes sense for many groups to do multiple events, each with its own purpose and goal. But what is the best way to use them, and how do you come up with and plan fundraising event ideas? These questions come up all the time when we are talking to our customers about how to do fundraisers.
Fundraising events are best used as motivation tools. They can help you answer the questions of ‘how do I communicate with my sellers?’ and ‘how do I keep everyone excited about the fundraiser?’ in a way that simplifies the rest of the fundraising process.
To make the most of your events, we recommend you plan 3 of them. The first is before the fund raiser starts and is used to pass out sales materials and to explain to participants the reason for raising money, how much needs to be raised, and how important their individual participation is. If you are doing school fundraisers or any other program where parental involvement is required you should definitely invite them to the event as well.
The second fundraising event will be held half way through your sale. The idea here is to keep everyone focused and excited about raising money. You should use this meeting to reiterate how important it is that you reach your goals and remind everyone of why you are raising money in the first place. This is also an excellent time to get a feel for how the sale is going. Some groups who either do not have time or cannot meet for some other reason will use our fundraising thermometer which accomplishes many, but not all, of the same goals.
The last event you will want to plan is for after everything is over. This fund raising event is used to celebrate successes and share results. It is an especially important step if you do multiple fundraisers throughout the year because it can be very motivating for your fundraiser team and your sellers to hear that your efforts are leading somewhere and are appreciated. If you are doing a prize program this is when you will hand out prizes.
Planning the fundraising event doesn’t require very much work in relation to the return you will get for the time. You just need to schedule a time and a place for everyone to meet and then be prepared to accomplish the purpose of that specific event.
